Booking Terms and Conditions

1. Your Booking

Your booking is for holiday accommodation at Clement Lodge, Flat 3, 7 Clement Avenue, Llandudno, LL30 2ED. A booking is confirmed once payment has been successfully authorised, accepted by us, and a confirmation email has been issued.

The lead guest must be at least 18 years old and is responsible for the booking, for all payments due, and for ensuring that every member of the party complies with these terms and conditions.

2. Length of Stay and Occupancy

• The minimum stay is 2 nights.
• The maximum stay is 28 nights.
• The maximum number of guests is 4.
• The number of guests staying at the property must not exceed the number confirmed at the time of booking.
• The property is to be used for holiday accommodation only and not for parties, events, or business use without prior written agreement.

3. Check-In and Check-Out

• Check-in is from 4:00pm on the day of arrival.
• Check-out is by 10:00am on the day of departure.
• Clement Lodge is a first-floor apartment and is accessed via a flight of stairs.
• Guests must vacate the property by check-out time, ensure the premises are secured, and return the keys to the lockbox as instructed.

4. Booking Window

Direct bookings cannot be made for arrivals within 5 days of the booking date. Availability shown on the website is subject to final confirmation and existing bookings already in place.

5. Pricing and Promo Codes

Prices shown on the website are for the stay selected and include any applicable accommodation charges shown at checkout. Where a valid promotional code is applied, the discount will be shown in the booking summary before payment is taken.

Promotional codes remain subject to their own validity dates, property restrictions, and terms of use. We reserve the right to remove or refuse a promotional code where it has expired, been entered incorrectly, or has been used contrary to its stated terms.

6. Payment Terms

• For bookings made more than 30 days before arrival, a 25% deposit is due at the time of booking.
• The remaining balance is due 30 days before arrival.
• For bookings made within 30 days of arrival, full payment is due immediately at the time of booking.
• Payments are processed securely using Stripe.
• By booking, you authorise us to collect any balance or security deposit due in accordance with these terms using the saved payment method.

7. Automatic Balance Collection

Where a balance remains due, we will automatically attempt to collect it 30 days before arrival using the payment method saved at the time of booking.

• If payment is successful, your booking will remain confirmed and you will receive confirmation by email.
• If payment fails, both the guest and admin team will be notified.
• You will then have 5 days to make payment.
• If payment is still not received within that 5-day period, the booking may be cancelled automatically and the deposit retained.

8. Cancellation and Refund Policy

If you cancel your booking within 30 days of the booking start date, no refund will be due.

For cancellations made more than 30 days before the booking start date, any refund due will be considered in line with the payment status of the booking, any non-refundable charges already incurred, and the terms confirmed at the time of booking.

Where a balance payment is not successfully collected and remains unpaid after the 5-day grace period, we reserve the right to cancel the booking, retain the deposit already paid, and release the dates back into availability.

9. Refundable Security Deposit

• A refundable security / damage deposit of £150 applies to each booking.
• This deposit is normally charged automatically to the saved payment method 7 days before arrival.
• If the booking is made inside that 7-day period, the security deposit may be due immediately or as soon as reasonably practicable before check-in.
• The security deposit is intended to cover damage, loss, additional cleaning, missing items, or breaches of these terms.
• If no issues are reported, the security deposit will normally be refunded automatically 2 days after departure.

If the security deposit charge fails, both the guest and admin team will be notified. We may retry the payment before arrival and flag the booking for manual follow-up.

10. Keysafe Access and Arrival Information

Access instructions and a unique keysafe code are issued nearer to the start of the stay. Keysafe codes are manually prepared for each booking and are only intended for the named guests for the duration of that stay.

Guests must keep keysafe details secure and must not share access information with anyone outside the booking party.

11. Guest Responsibilities and House Rules

• Please treat the property with care and respect.
• No pets are allowed.
• No events, parties, or gatherings are allowed.
• No smoking, vaping, e-cigarettes, candles, or naked flames are permitted inside the property.
• Quiet hours apply between 11:00pm and 7:00am.
• Commercial photography and filming are not allowed without prior written permission.
• No unregistered overnight guests are permitted.
• Please park only within the designated white lines and in the correct allocated space.
• Please leave the property in a clean, tidy condition and return items to their original places before departure.
• Please ensure all windows and doors are closed and locked when leaving the property.
• Please return all keys as instructed at check-out.
• Please report any accidental damage, breakages, or maintenance issues as soon as possible.
• Any damage should be reported within 24 hours.
• Please only use the dishwasher tablets provided.
• Please do not leave bikes, prams, or large personal items in shared areas.
• Please do not move indoor furniture or soft furnishings outside.
• Electric vehicle charging is only permitted with prior agreement and may require a contribution towards electricity costs.
• No illegal activity, anti-social behaviour, or nuisance to neighbours is permitted.

12. Recycling and Waste Disposal

• Please separate recycling from general waste in line with local Welsh requirements.
• Please do not leave large or bulky items behind at the property.
• Please refer to the welcome information in the property for waste and recycling guidance.
• Failure to dispose of waste correctly may result in additional charges where costs, fines, or penalties are incurred.

13. Property Issues and Access

If there is an urgent maintenance, safety, or operational issue affecting the property, we reserve the right to access the property at reasonable times or immediately in an emergency.

We ask guests to notify us promptly if anything in the property is not working correctly so that we have a fair opportunity to put matters right.

14. Liability

Guests are responsible for their own belongings and vehicles during their stay. To the fullest extent permitted by law, we cannot accept liability for loss, theft, damage, accident, injury, or inconvenience unless caused by our negligence or breach of legal duty.

15. Force Majeure

We shall not be in breach of these terms, nor liable for delay or failure to perform any obligation, where that results from events beyond our reasonable control, including but not limited to severe weather, flood, fire, utility failures, strike action, government restrictions, or other exceptional events.
